Wedding Information

Making the Arrangements

A few months in advance of your wedding reception, we should meet to make the arrangements which include: programme for the evening, bar and wine information, dinner menu, hors d’oeuvres selection, room set-up, linen colours, dessert table, decorations and deliveries. Please call us and we will arrange a convenient time to meet with you.

Room Rental Fee

Included in the room rental fee are linen tablecloths and napkins in a choice of colours, china service, podium and microphone.  As well, we will gladly set-up your favours, place cards, guest book, card box, etc.  Please see our room rental fee page. 


The banquet hall is often available for decorating the day before the wedding.  If there is an event in the room the day before, the hall will be available by noon on the day of.  Please contact Catering Services a week in advance to confirm early access.  For safety reasons, candles must be enclosed (e.g. in hurricane lamps or votive holders). Please contact Catering Services regarding ceiling decorations.


The day before your reception, please deliver to the University items such as: favours, guest book/pen, cake knife/lifter, card box, etc.  Deliveries should be made between 9 a.m. and 4 p.m., but the time is to be pre-arranged. (Note: there will be a $15/hour charge for late deliveries). Please be sure you include an inventory of all items delivered (to be checked upon arrival with our staff) and that all items are in boxes with your names on them.  (Sorry, we cannot accept deliveries of desserts the day before).

Dessert Table

You are permitted to provide your own home-made dessert platters for later in the evening. The University of Windsor has a wide range of pastries, tortes and snack trays available. Paper service is provided at no charge for your dessert table, but if you prefer china service, there will be a charge of $50. If you would like us to cut and serve your wedding cake, there is a $50 service fee.

Late Night Snack:

If you would like to have food brought in for a late night snack from an outside source, we will make arrangments with the vendor.  There will be a service charge of 25% above the vendor's regular pricing.  If your supplier does not provide paper service and chafing pans (if required), there will be an additional charge for these items.  Please contact Catering Services regarding fees. 

Removal of Decorations/Equipment/Bar Stock

Your bar stock, decorations, DJ/band equipment and all personal belongings are to be removed at the conclusion of the reception. Please note that the University will not accept responsibility for any decorations, personal belongings and/or equipment left unattended or overnight.
