Part Time Payroll Clerk '6' in the Department of Budgets and Financial Services (up to 24 hours per week)

HOURS OF WORK:

8:30 am to 3:30 pm, Monday to Thursday and Tuesday to Friday

Every other week alternating schedule

(Up to a maximum of 24 hrs per week – work schedule may vary)

PRIMARY RESPONSIBILITY:

The Payroll Clerk assists the Payroll Department with weekly payroll runs, government remittances and other payroll functions.

SUMMARY OF DUTIES:

1. Assist with data validation and reconciliation for the Faculty, Staff and Student payrolls. This includes simulating the pay run to ensure accuracy of the data entered.

2. Processing payrolls, in the absence of the Biweekly and Student Payroll Clerks, which includes balancing, auditing the direct deposit file, transmission of direct deposit file to the bank, third party payments, distribution of payroll reports, and pay statements (electronic and paper).

3. Checking new employee set up, to ensure the employees’ role, position, schedule, status, employer definition code, and union affiliation are accurate and consistent and entering direct deposit information, and tax exemption information (TD1).

4. Maintain calendar of payroll remittances

5. Providing client service in person, by phone and by email. Analyzing and troubleshooting employee pay issues.

6. Gather signatures (which may involve walking around campus to various signing authorities) and ensuring timely transmission of all remittances.

7. Maintains the calendar of the Manager, Financial Services.

8. Other duties as assigned.


ESSENTIAL QUALIFICATIONS:

The successful candidate will have:

• Previous experience working with an on-line computerized payroll system

• Able to work in a team environment

• Flexible, self-motivated, detail oriented, able to work with limited supervision and meet strict deadlines

• Excellent written and verbal communication

• Excellent customer service skills

• Work with high degree of accuracy and confidentiality

• Excellent organizational, analytical and problem-solving skills

• Proficient in Microsoft Office suite and data entry experience


PREFERRED QUALIFICATIONS:

• Knowledge of the government regulations pertaining to Canada Pension Plan, Employment Insurance, Income tax, Records of Employment, Employment Standards Act of Ontario, etc.

• University degree in a related field

THE FOLLOWING TESTS WILL BE ADMINISTERED:

Data entry test, Payroll test, Excel (Basic), Word (Basic)

As per Schedule 'A' - Unifor 2458 PT Collective Agreement
