Faculty / Recruitment Secretary '6' in the School of Dramatic Art

HOURS OF WORK: (26.25 hours per week)

Monday, Tuesday, Wednesday: 11:00 a.m. to 5:00 pm

Thursday: 10:00 a.m. to 5:00 p.m.

Friday: 10:30 a.m. to 4:45 p.m. 


This position provides secretarial and administrative assistance and support to the faculty, staff and students in the School of Dramatic Art.


1. General office duties including work orders, purchase or I-expenses, textbook orders, update flyers, posting notices and filing.

2. Maintain and order office supplies and equipment.

3. Scheduling participants in the annual recruitment workshops.

4. Schedule and organize annual entrance auditions and interviews.

5. Research and reserve audition/interview spaces for workshops, auditions, and interviews;

6. Make travel arrangements for faculty and students attending auditions/interviews, BFA auditions and DRED interviews.

7. Send mass e-mail to prospective students regarding workshops, auditions, interviews, and other recruitment events.

8. Create and maintain on-line reservation site for all spaces in the Centre.

9. Prepare GA/TA postings, contracts as required each semester.

10. Update, design and maintain the school web pages.

11. Answer general inquiries about the school, distribute internal and external mail to faculty and staff and maintain the generic email box for the School.

12. Other duties as assigned.


The successful candidate will have:

• Diploma in Office Administration or experience as it relates to the duties of the position

• Excellent organizational and problem-solving skills

• Excellent oral and written communication skills

• Experience with diversity and issues arising from cultural differences

• Ability to maintain confidentiality and discretion

• Ability to exercise sound judgement

• Ability to pay close attention to details, and ensure accuracy

• Excellent collaboration skills working in a team environment and ability to work independently

• Knowledge of University Senate Bylaws and Policies

• Knowledge of GA/TA contracts and postings

• Proficiency in the use of Microsoft Word, Excel, Lotus Notes, webpage & social media editing & maintenance (Druple, etc.), Power-point, experience with databases and the UWin student system (or similar system); Typing 40 NWPM.


• Knowledge of Ontario Universities Application Centre and Ontario University Registrar’s Association as it

• Knowledge of e-grade system

• Familiarity with Faculty of Graduate studies regulations, rules and procedures

• Familiarity with University, Faculty of Arts Humanities and Social Sciences and Faculty of Graduate studies policies and procedures.
