HOURS OF WORK:

Mon. – Thurs.: 9:30 – 3:00 with half hour lunch break 11:30 – 12:00; Friday: 10:00 – 2:00

(Up to a maximum of 24 hrs per week – work schedule may vary)

PRIMARY RESPONSIBILITY:

The Secretary will provide reception, secretarial, and administrative services to support the activities of the Office of the Dean which includes the office of the Associate Dean, Undergraduate Affairs and Associate Dean, Graduate Affairs.

SUMMARY OF DUTIES:

1. Provides secretarial and receptionist support by greeting faculty, staff, students, and visitors to the main office; answers in-person, phone and electronic queries or directs those questions to the appropriate area on campus.

2. Maintains the booking for equipment and rooms for the Office of the Dean.

3. Schedules meetings and/or appointments.

4. Maintains student files, both physical and electronic.

5. Assist in preparation of letters for Academic Standing & Appeals processes.

6. Tracks and records paperwork/workflow for Undergraduate Affairs Office.

7. Maintains the office supply inventory, replenishes when necessary and attend to minor repairs of office equipment; arranges work orders for major repairs.

8. Assist with organizing and participate in, special events hosted by the Dean.


ESSENTIAL QUALIFICATIONS:

The successful candidate will have:

• Diploma in office administration or experience providing reception/secretarial support in an office environment

• The ability to be well organized, accurate, have attention to detail and the ability to multi-task and prioritize within tight deadlines

• Possess a high degree of professionalism, tact, and communicate with Faculty, Staff, and Students in an appropriate manner

• Excellent written and oral communication and interpersonal skills are required in dealing with a broad range of diverse individuals including Students, Faculty, and Staff in a professional manner

• Ability to exercise tact and diplomacy in all situations and the ability to maintain confidentiality

• Experience working with SIS (or similar system) • Proficiency in Microsoft Office Suite (Word, Excel and Outlook) as well as use of the Internet; Typing 30 NWPM

THE FOLLOWING TESTS WILL BE ADMINISTERED:

MS Word (Basic), MS Excel (Intermediate), Typing
